Privacy Policy

How Dimple Dental LLC, doing business as Dimple ("Dimple," "we," "us," or "our"), collects, uses, protects and manages personal information across our website, our forms, our software, and our communications.

1. Scope of this Policy

This Policy applies to personal information collected through dimple.dental and its subdomains, our web forms, email, telephone, SMS/text messaging, website chat, the Dimple software used by dental practices and their staff, and our demonstrations and sales conversations.

2. Who we are, and the two kinds of information we handle

Dimple is software that answers calls and messages for dental practices, books appointments, and sends reminders and follow-ups on the practice's behalf. That means we handle two very different kinds of information:

  • Information about our own contacts and customers — people who visit our website, request a founding seat, sign up a practice, or work at a practice that uses Dimple. For this information, Dimple is the "business" or "controller," and this Policy applies in full.
  • Information about a practice's patients — names, phone numbers, appointment details and messages that pass through Dimple when it works on a practice's behalf. For this information, the dental practice is the covered entity and Dimple acts as its business associate under HIPAA, bound by a Business Associate Agreement. Section 7 explains how that information is handled; the practice's own notice of privacy practices governs how the practice uses it.

3. Information we collect

Information you provide to us

  • Name, business name, role, telephone number, email address, mailing address and preferred language.
  • Information about your practice: practice management system, call volume, hours, providers, insurance accepted, and the facts you enter into Dimple's knowledge base.
  • Messages, form responses, support requests, and records of our conversations with you.
  • Billing information processed through our payment provider. We do not store complete payment-card numbers.
  • Communication preferences and records of consent, including SMS opt-in and opt-out records.

Information collected automatically

  • Technical information when you use our website or software: IP address, browser and device type, pages viewed, referring pages, dates and times of visits, and actions taken in the software.
  • Call and message metadata needed to operate the service: the number called, the time, the duration, the outcome, and delivery status.

Information received on a practice's behalf — see Section 7.

4. How we use information

We use personal information to:

  • Respond to questions, demo requests and founding-seat requests.
  • Create and manage practice accounts, sign staff in securely, and provide the Dimple service.
  • Send service-related information: account notices, sign-in codes, invitations, setup instructions, billing notices and support replies.
  • Operate, maintain, secure and improve the service, including measuring usage and detecting misuse.
  • Comply with legal, regulatory and contractual obligations, including our obligations to practices under HIPAA.
  • Send marketing communications only when the recipient has provided the appropriate separate consent.

We do not use a practice's patient information to train general-purpose AI models, to build marketing profiles, or for any purpose other than providing the service to that practice.

5. Communications and SMS consent

We may contact you through the methods you provide and authorize. Service-related communications may include replies to your inquiry, demo scheduling, account and security notices (such as one-time sign-in codes), setup and support messages, and billing notices.

Marketing text messages are sent only when the recipient has separately opted in to receive marketing messages. Consent to receive marketing or non-marketing text messages is not a condition of purchasing any Dimple service.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except as necessary to deliver the requested messaging service (for example, to the carriers and messaging providers that transmit the message).

Message frequency may vary. Message and data rates may apply. You may reply STOP to opt out of SMS messages at any time, or HELP for assistance. Full SMS program terms are in our Terms and Conditions and on our SMS Program page.

Patients of practices that use Dimple: when a dental practice uses Dimple to text its patients, the practice is the sender and the practice's own consent process applies. Dimple honors STOP for every such program within one minute, keeps a record of every opt-in and opt-out on the practice's behalf, does not text outside quiet hours set in the practice's local time, and never uses a patient's number for Dimple's own marketing.

6. How information is disclosed

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

We may provide limited information to vendors that perform services on our behalf, such as cloud hosting, telephone and text-message delivery, speech and language processing, payment processing, email delivery for non-patient communications, analytics, and customer support tools. These vendors may use the information only to perform services for Dimple and must protect it appropriately. Vendors that handle patient information on our behalf are bound by Business Associate Agreements.

We may also disclose information when reasonably necessary to comply with law or legal process, to protect the rights, property or safety of Dimple, our customers or others, to prevent fraud or misuse, or in connection with a merger, acquisition or sale of assets (in which case this Policy continues to apply to the information transferred).

Mobile information protection. No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

7. Protected health information (HIPAA)

When Dimple handles a patient's information on a dental practice's behalf, that information is protected health information ("PHI") and the following applies:

  • Dimple acts as the practice's business associate under a signed Business Associate Agreement, and uses and discloses PHI only as that agreement and HIPAA permit.
  • PHI is stored on Dimple-controlled infrastructure in the United States, encrypted in transit and at rest, and is never sent to email marketing tools, general automation tools, advertising platforms or integration marketplaces.
  • Call transcripts are redacted of identifiers for day-to-day use; recordings, where made, follow the recording-consent law of the caller's state.
  • Staff access to PHI is limited by role, every read of patient data is logged, and audit logs are retained for six years.
  • Before Dimple reads sensitive details back to a caller (balance, insurance, appointment specifics beyond date and time), it verifies the caller with a one-time code to the phone number on file.
  • Dimple does not go live on real patient data at a practice until the Business Associate Agreements on both sides are in place.

8. Cookies, analytics and advertising technologies

Our website may use cookies, pixels and similar technologies to remember preferences, understand site usage, improve performance and measure advertising. We may use analytics and advertising tools such as Google Analytics or Google Ads on our marketing website only. Our software for practices uses only the cookies needed to keep you signed in and secure. You may control cookies through your browser settings; disabling them may affect some site functions. Where required, we provide additional choices through a cookie-consent tool.

9. Data retention and security

We retain personal information only as long as reasonably necessary for the purposes described in this Policy, including providing the service, maintaining business and consent records, complying with legal and contractual obligations, resolving disputes and enforcing agreements. Opt-out and suppression records are retained so that we can continue to honor them. Consent records for text messaging are retained for at least five years. PHI is retained for the period required by our agreement with the practice and applicable law, then securely deleted or returned.

We use administrative, technical and physical safeguards designed to protect personal information, including encryption, access controls, two-factor authentication for staff accounts, and logging. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Your choices and privacy rights

Depending on applicable law and your relationship with us, you may request access to, correction of, or deletion of personal information we hold about you. We may retain information where required by law, by our agreements with practices, or for legitimate record-keeping needs.

  • Email marketing: use the unsubscribe link in the message or contact us.
  • SMS: reply STOP to cancel future SMS messages from the applicable program.
  • Cookies: adjust your browser or cookie settings.
  • Privacy requests: contact us using the information below. We may need to verify your identity first.

State privacy rights. Depending on your state of residence, you may have additional rights, including the right to know what personal information we collect, to request access to or deletion of it, to correct it, and to not be discriminated against for exercising these rights. California residents may exercise rights under the California Consumer Privacy Act (CCPA/CPRA). We do not sell or share personal information as those terms are defined under California law. To make a request, contact us using the information in Section 14.

11. Children's privacy

Our website and SMS programs are not directed to children under 13, and we do not knowingly collect personal information online from children under 13. Patient information about minors handled on a practice's behalf is handled under HIPAA and the practice's own policies. If you believe a child has provided information to us directly, please contact us.

12. External websites and services

Our website may link to external websites or services. Their privacy practices are governed by their own policies, and we are not responsible for their content or practices.

13. Changes to this Privacy Policy

We may update this Policy to reflect changes in our practices, technology or legal obligations. The revised version will be posted on this page with an updated effective date. Material changes may also be communicated through other appropriate means.
